**Position Title: Project \& Membership Coordinator**
**Position:** Full\-time employee

The United States Association for the Study of Pain (USASP) is a 501(c)(3\) nonprofit association centered on advancing pain research with approximately 1,000 members. **Position Summary:**
The Project \& Membership Coordinator supports the core administrative and programmatic functions of USASP, ensuring the smooth execution of membership services, editorial workflows, special interest group activities, awards programs, and the Annual Scientific Meeting. This role manages structured systems, maintains critical records, and coordinates across digital platforms to support the association’s mission and strategic goals. The ideal candidate is highly organized, detail\-oriented, and comfortable working independently within established processes while contributing to continuous improvement.
**Key Responsibilities**
**Editorial \& Publication Support**
* Support editorial workflow within Editorial Manager (after training)
* Process new manuscript submissions and revisions using established templates
* Monitor reviewer assignments and send follow\-up communications
* Assist with acceptance processing and release to publisher
* Maintain editorial board records and coordinate masthead updates
* Support updates to author guidelines and journal website content
* Assist with preparation of the Annual Meeting Journal Supplement (abstract formatting, author index, proof coordination)
* Coordinate author outreach related to publication and social media promotion
* Prepare periodic editorial reports and reviewer acknowledgements
**Awards \& Grants Support**
* Coordinate administrative aspects of the Gebhart Young Investigator Award
* Track eligibility and manage applicant communications
* Collect and organize Letters of Support for grant submissions
* Assist with reviewer tracking and documentation
**Membership \& CRM Management**
* Track quarterly membership counts and reporting (including Elsevier data)
* Maintain and update membership records in Customer Relationship Management (CRM)
* Track lapsed members and support outreach initiatives
* Update records following Annual Meeting registrations
**Special Interest Group (SIG) Coordination**
* Serve as primary contact for SIG leaders
* Coordinate SIG surveys, annual meeting logistics, and poster blitz sessions
* Support webinar scheduling and Zoom hosting for SIG events
* Maintain SIG website pages
**Annual Scientific Meeting \& Program Support**
* Assist with registration form testing and management
* Coordinate poster and speaker communications (forms, registration verification)
* Support conference app buildout and testing
* Manage sponsor information collection and assist with booth logistics
* Marketing and cross\-promotional efforts for meeting activities
**Qualifications**
· 2\-3 years of experience in administrative coordination, nonprofit operations, association management, membership services, event support, or a related field
· Strong organizational skills with exceptional attention to detail
· Demonstrated ability to manage multiple projects and deadlines simultaneously
· Excellent written communication and interpersonal skills with a professional and member\-focused approach
· Comfort working independently in a remote environment while maintaining consistent communication and follow\-through
· Experience working with databases, spreadsheets, online forms, or Customer Relationship Management (CRM) systems
· Ability to learn and manage digital platforms and structured workflows, submission portals, and virtual meeting tools
· Experience supporting meetings, webinars, or in\-person events (preferred, not required)
· Interest in mission\-driven work and supporting a scientific and professional community
· Demonstrated reliability, discretion, and sound judgment when handling sensitive information and communications
**Work Environment and Travel**
· Fully remote position
· Travel to the Annual Scientific Meeting each year. The next meeting is March 15\-18, 2027 in Denver Colorado. Travel days will include March 13 and March 19, 2027\.
**Compensation and Benefits**:
· **Salary range:** $50,000–$55,000 depending on experience,
· **Benefits**: health insurance reimbursement (HRA), 401K contributions, PTO, professional development support
· **Estimated total compensation:** Up to \~$73,000 including benefits
**Reporting structure:** Report to the Program Manager

About one\-third of our membership is trainees either in a training program or within five years of completing their final degree. .
