**Job Summary** The Real Estate Lead Conversion Specialist is responsible for managing and converting inbound and existing leads into qualified appointments for the agent. This is a sales\-focused role centered around lead follow\-up, appointment setting, database reactivation, and pipeline generation. The primary purpose of this role is to keep leads actively engaged, identify serious buyers and sellers, and consistently place qualified opportunities on the agent’s calendar so the agent can focus on appointments, negotiations, and closing business. This is not an administrative support role. This position directly impacts revenue generation and business growth. **CORE RESPONSIBILITIES** Lead Conversion \& Follow\-Up * Respond quickly to all inbound real estate inquiries, including Realtor.com, Zillow, website leads, social media inquiries, open house leads, referrals, and sign calls * Communicate with leads via phone, text, and email using approved scripts, systems, and communication standards * Consistently follow up with warm, cold, and nurture leads inside Follow Up Boss * Restart and reactivate older database leads and inactive conversations Identify motivation, timeline, price point, financing status, and location preferences * Move every conversation toward a clear outcome: \- Appointment Set \- Active Nurture \- Disqualified Lead **Appointment Setting** * Set buyer consultations and listing appointments directly on the agent’s calendar * Confirm appointments and ensure prospects are properly prepared before meetings * Escalate only serious, qualified, and motivated opportunities to the agent * Identify potential seller opportunities within the database and through conversations **CRM \& Pipeline Management** * Maintain accurate notes and communication records inside Follow Up Boss * Update lead statuses, timelines, and follow\-up tasks consistently * Ensure no lead is ignored, forgotten, or left without follow\-up * Maintain organization and cleanliness within the CRM pipeline **ROLE EXCLUSIONS** This role does NOT include: Contract preparation Transaction coordination Listing coordination MLS input or listing management Marketing execution Social media management Administrative assistant duties Post\-closing coordination **PERFORMANCE EXPECTATIONS** Daily Expectations: * Fast response times to inbound inquiries * Consistent outbound follow\-up activity * High volume of phone conversations daily * Consistent pipeline engagement and reactivation * Clear communication and strong organization * Professional and confident communication with all leads KPI Targets: Minimum outbound call expectations daily Consistent appointment\-setting performance Zero ignored or dropped leads Accurate CRM updates and notes Strong speed\-to\-lead response times Consistent database reactivation activity **IDEAL CANDIDATE** This role is best suited for someone with a strong sales personality, high energy, and excellent communication skills. The ideal candidate is confident on the phone, proactive, persistent, and comfortable building relationships quickly with both buyers and sellers. We are looking for someone who naturally creates conversations, follows up consistently, and knows how to move leads toward action without sounding robotic or overly scripted.
