Job Description

About EVC

The Everybody Votes Campaign, established in 2015, is a national coordinating body focused on narrowing the voter registration gap in communities of color. We are committed to creating a more representative democracy by building and supporting large scale, long term voter registration in communities of color. We partner with local organizations to support accessible, successful, and high quality voter registration programs that expand access to our democracy for people in communities of color.

ABOUT THE ROLE

EVC seeks an experienced, highly organized professional to work closely with the CEO as a trusted partner in managing day-to-day priorities, executive operations, and organizational follow-through. The role will support the CEO through email and calendar management, meeting support, project and priority management, travel preparation, and other executive and operational responsibilities.

The ideal candidate will exercise excellent judgment in a variety of situations, with strong written and verbal communication, exceptional attention to detail, and highly developed organizational skills. This individual will be able to manage multiple competing priorities, implement systems that improve efficiency and follow through, and anticipate needs before they arise.

This role requires someone who is highly self-directed, can quickly pick up tasks and move them forward with minimal oversight, and is comfortable working under pressure while handling a wide variety of activities and confidential matters with discretion. Most importantly, this person will serve as a trusted partner to the CEO in the day-to-day work—someone who can exercise sound judgment, provide thoughtful pushback when appropriate, and confidently say “no” or redirect requests when necessary to protect organizational and executive priorities.

WHAT YOU WILL DO IN YOUR ROLE

Executive Support \& Operations

  • Own and manage the CEO’s schedule and inbox, including working with internal team members and external partners to prioritize requests, schedule appointments, and ensure the CEO’s time is aligned with organizational priorities.
  • Complete a variety of executive and administrative responsibilities, including expense reports, correspondence that may be confidential, complex travel arrangements, and detailed trip preparation.
  • Develop, implement, and maintain systems that help the CEO and senior team stay organized, ensure strong follow-through, and prevent important tasks or commitments from slipping through the cracks.
  • Work closely and effectively with the CEO to keep them well informed of upcoming commitments, responsibilities, priorities, and decisions requiring attention.
  • Serve as a day-to-day thought and execution partner to the CEO, anticipating needs, identifying potential challenges, and exercising judgment about what requires the CEO’s attention.
  • Exercise discretion and confidence in managing access to the CEO, including appropriately redirecting or declining requests when needed.

Meetings, Priorities \& Follow-Through

  • Facilitate and manage the morning senior stand-up, ensuring priorities, updates, decisions, and follow up items are clearly captured and communicated.
  • Provide high-quality meeting support through detailed note-taking, synthesizing information and decisions, and identifying clear action items and next steps.
  • Lead follow-up from meetings, ensuring action items and next steps are captured, assigned, tracked, and incorporated into relevant agendas and workflows on behalf of the CEO.
  • Assist in the coordination and creation of agendas, soliciting information from internal and external stakeholders seeking to meet with the CEO.
  • Maintain systems for tracking commitments and follow-up across meetings, projects, and organizational priorities.
  • Partner closely with the Development team to maintain alignment and ensure relevant priorities, commitments, and follow-up remain visible and moving forward.

Board and Donor Management

  • Serve as the CEO’s liaison to the Board of Directors and organizational donors, supporting both administrative coordination and board operations as appropriate.
  • Assist with scheduling calls and meetings for board members and donors, owning the coordination process to ensure meetings are held, calendar invitations are sent, and necessary preparation is completed.
  • Support preparation for board meetings, including coordination and advance distribution of relevant materials.
  • Maintain discretion and confidentiality in relationships with all board members and donors.
  • Work with the Sr. Director of People \& Culture and CEO to ensure compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic format.

  • Exceptional meeting and communication skills: Can capture complex discussions accurately, identify key decisions and action items, synthesize information, and translate conversations into clear next steps. Track record of expertly managing complex scheduling and competing priorities for a high-level executive. Can learn, internalize, and incorporate EVC’s voice across platforms and effectively synthesize and communicate information including on behalf of the CEO.
  • Trustworthiness and discretion: Deep understanding of the need to keep highly confidential information within appropriate work streams. Follows through on commitments and manages competing relationship responsibilities with discretion. Understands when to say “no” and keep team focused on priorities.
