  • Schedule approved vendor payments in Bill.com for the weekly payment run
  • Review QBO weekly for coding errors and anomalies
  • Review weekly cash forecast inputs and flag anomalies (the forecast output is generated with automation)

  • Report on A/R aging schedules to the Operating Partner and Partners

Accounts Payable Administration

  • Onboard vendors and consultants into accounts payable platform by setting up accounts and extending platform invitations
  • Oversee payment processing for both domestic and international vendors and consultants
  • Manage invoice entries in Bill.com, initiating the approval and validation processes and maintaining inbox organization
  • Review and prepare invoices for approval, including detailed information such as vendor name, invoice number, payment terms, and relevant account details, ensuring alignment with the Chart of Accounts
  • Schedule payments for approved invoices adhering to Net 30 terms
  • Verify the accuracy of variable hours submitted by independent contractors and billed project expenses submitted by external vendors, in conjunction with the Operations team

Quarterly Responsibilities

  • Inactivate completed QBO class codes
  • Run the quarterly labor rate calculation using the firm's Claude-based tool, reviewing inputs, exceptions and outputs[C10]
  • Manage the project economics documents on an ongoing basis, tracking the firm's true contribution margin and related metrics (the full report is generated annually), and support the pricing model update[C11]

Tax Responsibilities

  • Annually, prepare and submit 1099s for all eligible consultants
  • Finalize financial statements for accurate tax submissions and payments, ensuring compliance with tax regulations (annual tax financial preparation)

General Bookkeeping Duties

  • Support the A/B team with the creation and maintenance of other financial reports as needed
  • Undertake additional bookkeeping and accounting-related tasks as directed by the Operating Partner and A/B Partners, demonstrating flexibility and commitment to the organization's financial health
  • Lead and execute other requests and tasks assigned by Partners or the Operating Partner

Finance and Accounting Project Management
