Job Description
**Position Summary**
The Digital Marketing Coordinator supports the planning, creation, production, scheduling, and quality control of digital marketing communications for a portfolio of medical associations and conferences, including nonprofit organizations and independently owned for\-profit meetings. The role turns approved marketing plans and source content into polished social media and email communications that support registration, attendance, engagement, brand awareness, education, sponsorship, and industry visibility.
This position works closely with marketing leadership, client managers, meeting teams, education, sponsorship, exhibits, and other internal partners. The ideal candidate is an organized, accurate, and creative producer who can manage multiple brands, audiences, deadlines, and approval processes while maintaining each client’s voice and visual standards.
**Core Responsibilities**
Social Media Content \& Scheduling
* Create, format, schedule, and publish approved content for Instagram, Facebook, LinkedIn, X, and other assigned channels using the company’s social media scheduling platform and native platform tools.
* Draft captions and calls to action; adapt source content for each platform, audience, campaign goal, and brand voice.
* Maintain accurate content calendars across clients and events, including campaign dates, assets, links, approvals, tags, hashtags, and publishing status.
* Create and update branded graphics using existing templates in Canva or other approved design tools; resize and adapt assets for social media, email, websites, event apps, and digital campaigns. Support short\-form video, reels, stories, carousels, speaker features, sponsor recognition, countdowns, and event highlights.
* Update and adapt existing branded templates for routine marketing needs and coordinate with internal or external creative resources when a project requires original design, advanced illustration, or significant brand development.
* Monitor published posts, comments, direct messages, mentions, and tags; route questions or sensitive issues to the appropriate team member.
Email Marketing \& Eblast Production
* Build, format, test, schedule, and deploy eblasts, newsletters, registration campaigns, reminders, and event communications in Mailchimp and Constant Contact.
* Develop and maintain reusable email templates, modules, headers, buttons, footers, and campaign layouts that follow client branding and improve production consistency.
* Lay out approved copy and assets into clear, mobile\-friendly emails using effective hierarchy, spacing, links, calls to action, and image placement.
* Complete pre\-send quality assurance, including proofreading, link testing, audience and suppression review, sender details, subject lines, preheaders, image display, mobile rendering, dates, and registration information.
* Maintain subscriber lists, tags, segments, and campaign records in accordance with approved processes; assist with imports, exports, duplicate cleanup, and unsubscribe requirements.
* Support campaign reporting by organizing available email metrics and noting performance trends or testing opportunities for marketing leadership.
Conference \& Association Marketing Support
* Support multi\-channel campaigns for medical conferences, membership initiatives, webinars, educational programs, abstract submissions, faculty announcements, sponsorship and exhibit opportunities, awards, and foundation activities.
* Coordinate with meeting and client teams to gather approved copy, dates, links, logos, speaker information, sponsor assets, and other required materials.
* Prepare campaign variations for attendees, members, faculty, sponsors, exhibitors, industry audiences, and other approved segments.
* Support onsite and live\-event content capture, posting, photography coordination, attendee engagement, and rapid\-turnaround updates when assigned.
Content Coordination \& Quality Control
* Organize digital assets, templates, brand references, copy documents, approvals, and final campaign files in shared systems.
* Proofread all work for accuracy, grammar, branding, accessibility basics, and consistency across social, email, web, app, and event materials.
* Track assignments, dependencies, approvals, and deadlines; communicate missing materials or timing risks early.
* Protect confidential, member, attendee, and client information and follow approved consent, copyright, privacy, and communications practices.
* Assist with website and event\-app updates when assigned and when they directly support active marketing campaigns.
Collaboration \& Process Improvement
* Participate in marketing and project meetings, capture action items, and provide clear status updates for assigned campaigns.
* Use established templates and workflows while recommending practical improvements that increase accuracy, speed, consistency, and audience engagement.
* Provide responsive support across multiple clients without assuming ownership of unrelated functions such as event logistics, accreditation, sponsor sales, or registration customer service.
**Required Qualifications**
* Bachelor’s degree in marketing, communications, digital media, public relations, or a related field, or an equivalent combination of relevant education and experience.
* At least 2 years of experience producing social media, email marketing, digital communications, or comparable deadline\-driven content.
* Hands\-on experience building and sending campaigns in Mailchimp, Constant Contact, or a similar email platform.
* Experience using a social media management platform to schedule, publish, and organize content across multiple brands and channels.
* Strong writing, proofreading, formatting, and quality\-control skills, with close attention to links, dates, names, audience details, and brand consistency.
* Ability to manage multiple clients, calendars, campaigns, approval cycles, and deadlines in a fast\-paced environment.
* Working proficiency with Microsoft 365 and shared cloud\-based files, calendars, and workflows.
**Preferred Qualifications**
* Experience supporting medical, healthcare, scientific, association, conference, higher education, or other professional audiences.
* Working experience with Canva or a similar design platform, including updating templates, resizing graphics, and preparing digital assets for social media and email campaigns.
* Familiarity with Adobe Creative Cloud is preferred. Experience with Adobe Illustrator, Photoshop, or similar professional design software is a bonus.
* Experience producing short\-form video, reels, stories, carousels, or live\-event social coverage; familiarity with audience segmentation, list hygiene, email testing, campaign reporting, websites, event apps, and registration\-driven marketing.
* Writing samples or a portfolio demonstrating social media and email marketing work.
**Compensation \& Benefits**
The anticipated salary range is $45,000 to $55,000 annually. Final salary will be based on relevant experience, qualifications, and demonstrated expertise.
