Job Description
Every client conversation either builds trust or chips away at it. Your job is to make sure it always builds trust.
Dog Lab Texas provides hunting, obedience and protection training, along with boarding and transport, for clients who expect a premium experience, and we guarantee our training results. Behind every great client experience is someone making sure the right message reaches the right person at the right time, and that nothing slips. As our Front Desk Coordinator, that’s you. You’ll be the communication hub for our clients and our team, and you’ll help us find and bring in the people who keep the business growing.
What you get here
- Clear structure and clear expectations. You’ll have approved templates, defined standards and real systems behind you, so you always know what “done right” looks like.
- Leaders who are accessible and honest. You’ll work directly with our leadership team, and you’ll always know where you stand.
- Recognition for follow-through. People who deliver get noticed here, and we say so out loud.
- Room to grow. You’ll get experience in client service and recruiting, with a path into a lead or coordinator role for people who show ownership.
- A front-row seat to a growing premium business. You’ll see how every part of the operation connects, and you’ll be the one connecting it.
What you’ll do
- Be the communication hub. Serve as the main coordination point for clients, team members and operational follow-up. Respond to every client message and inquiry in Go High Level promptly and professionally, using our approved snippets, templates and communication standards so clients get a consistent experience.
- Make sure nothing stalls. Handle every scheduling inquiry, appointment request and follow-up item within our expected response times. Watch communication threads so no conversation goes unanswered or unresolved.
- Route work to the right people. Send tasks, updates and follow-ups to the right team member based on who owns what. When ownership isn’t clear, ask before you assign so nothing gets delayed or miscommunicated. Keep communication accurate and timely across departments.
- Coordinate the client schedule. Manage lesson confirmations, field lesson invitations, boarding communication and appointment updates. Make sure clients get trainer and transporter ETA notifications on time.
- Document everything. Keep accurate records of every client interaction, update and scheduling change in our systems.
- Keep leadership informed. Prepare and submit a detailed end-of-day report covering operational activity, unresolved issues, urgent follow-ups, staffing concerns, boarding status, sales activity, client concerns, missed ETAs and scheduling updates.
- Protect the client experience. Watch for client concerns and escalate them appropriately when needed.
- Support recruiting and onboarding. Coordinate job postings, communicate with candidates, schedule interviews between candidates and leadership, track applicants and follow up. Help leadership keep candidate pipelines full for operational and administrative roles. Keep recruiting records, interview notes and hiring logs organized, and help prepare onboarding for new hires when needed.
- Represent Dog Lab well. Bring professionalism, responsiveness and organization to every client and candidate interaction.
What success looks like
- Every client and candidate gets a professional, accurate and prompt response.
- No conversation breaks down and no scheduling issue goes unresolved.
- Recruiting stays organized and responsive.
- Leadership gets accurate, on-time end-of-day updates.
- Our systems, records and tasks are always current.
Who thrives here
You’re the person who notices when something is about to fall through the cracks, and you deal with it before it does. You enjoy keeping a busy inbox, calendar and task list under control. You write clearly, speak professionally, and stay calm when priorities shift mid-morning. You also see follow-through as a point of pride, not a chore.
What you bring

- You’ll need to keep your attention to detail while handling interruptions and changing priorities.
- You may occasionally travel locally or help with operations, which can include lifting and carrying supplies up to 25 lbs.
Pay and details: $16/hr part-time - Most often 25-30 hours per week.
How we hire: We move quickly and usually make a decision within a week, and we’ll keep you informed at every step. (In this role, you’d be the one making sure every candidate gets that same experience.)
