About On Call COO
On Call COO is a management consulting firm that provides Fractional COO services, project-based operational consulting, and tiered advisory engagements to founders of 7- and 8-figure businesses across the United States. We embed experienced operational leadership into growing companies, giving founders the executive horsepower they need to scale without a full-time hire.

About the Role
We are looking for an experienced Online Business Manager (OBM) to serve as the operational and marketing operations backbone of our client engagements. This is not a task-taker role. You are the person who sees what needs to happen, builds the system to make it happen, and makes sure it keeps running without being chased.
You will work directly alongside our fractional COOs and operations managers inside client businesses. The COO sets strategy, the founder focuses on growth, and you own day-to-day execution across two areas: the operations that keep the business running (SOPs, workflows, projects, team, and metrics) and the marketing ecosystem that brings in leads and revenue (funnels, landing pages, opt-ins, email automation, courses, and community).
The marketing side of this role is hands-on and end to end. You will design, build, implement, maintain, and optimize a client's full marketing ecosystem, not just manage the people who do. You will be expected to open the platform and build it yourself.
This is a contractor role with flexible hours across multiple client accounts.
Required Tech Stack: Non-Negotiable
Go High Level (GHL): Funnels and websites, pipelines, automations, workflows, forms, calendars, CRM, and reporting
Kajabi: Course and membership builds, offers, checkout, email sequences, funnels, and Kajabi Communities
ClickFunnels: Funnel building, landing pages, opt-ins, order forms, upsells, and checkout flows Email Marketing: Campaign setup, list segmentation, tagging, and automation across any major platform
Community Platforms: Setup and management in at least one of Circle, Skool, Mighty Networks, Kajabi Communities, or Facebook Groups
Additional tools you may work with include HubSpot, Teachable, Thinkific, Flodesk, Kit (ConvertKit), Asana, ClickUp, Notion, Zapier, Make, Canva, Google Analytics 4, Looker Studio, Meta Pixel, and Google Workspace, or other CRM, course, and community software as needed. We value candidates who are tech-savvy and can learn new platforms quickly.
What You Will Own
Marketing Operations \& Ecosystem Management
You own the client's marketing ecosystem from design through build, implementation, and ongoing optimization.
Ecosystem Design \& Architecture
- Map the full customer journey from first touch to purchase, onboarding, retention, and ascension, and translate it into a documented ecosystem map
- Design how lead magnets, funnels, email, CRM, checkout, course platforms, and community connect so data and customers flow cleanly between them
Funnels, Landing Pages \& Opt-ins
- Design, build, maintain, and optimize funnels end to end: opt-ins, lead magnets, webinar and masterclass registrations, sales pages, order forms, upsells, downsells, and thank-you pages
- Build landing pages that are on-brand, mobile-responsive, and conversion-focused, working from client copy or drafting and refining copy when needed
- Connect payment processors, checkout flows, and product delivery so purchases trigger the right access, tags, and follow-up
- QA every funnel before launch (links, forms, payments, automations, and mobile) and audit live funnels on a recurring schedule to catch breaks
Email Marketing \& Automation
- Build and maintain nurture, welcome, launch, sales, onboarding, abandoned-cart, and re engagement sequences
- Own list health, including tagging and segmentation strategy, deliverability basics, and list hygiene Integrate platforms with native integrations, Zapier, or Make so leads, purchases, and student activity sync accurately across systems
Online Courses \& Learning Platforms
- Implement coursework inside online learning platforms (Kajabi, Teachable, Thinkific, Circle, Skool, or similar): course structure, modules, lessons, video and file uploads, quizzes, assessments, and certificates
- Configure drip schedules, access levels, bundles, and membership tiers
- Set up student onboarding, progress tracking, and completion and re-engagement automations
- Maintain and update course content as programs evolve, and keep the student experience polished and easy to navigate
Community Management
- Set up and configure community spaces, including structure, channels, member onboarding, access rules, and integrations with course and payment platforms
- Manage the day-to-day community: welcome new members, moderate discussions, answer questions, and escalate issues to the founder or team
- Plan and run engagement programming such as prompts, challenges, live calls, events, and member spotlights
- Track community health metrics (active members, engagement, retention, churn) and recommend improvements
Optimization \& Testing
- Monitor funnel and campaign performance, including opt-in rates, conversion rates, show-up rates, email engagement, and cost per lead and acquisition
- Run A/B tests on headlines, offers, page layouts, and email subject lines, and document what was learned
- Identify drop-off points in the customer journey and implement fixes that improve conversion and revenue
Operations \& Process Management
- Create, update, and document SOPs and company workflows so the business runs consistently without founder involvement, including SOPs for every funnel, automation, and marketing system you build
- Analyze existing systems to identify bottlenecks and implement process improvements
- Set up and manage tech stacks including CRMs, communication tools, project management, and automation platforms
- Build automated workflows that reduce manual tasks and increase operational efficiency
Project \& Launch Management
- Map out project timelines, scope deliverables, and set milestones for business goals
- Oversee all moving parts of product, service, course, and program launches from planning through execution, including the launch funnel, email sequences, community activation, and post-launch debrief
- Monitor KPIs and deadlines to keep projects on track and flag risks early
- Coordinate resource allocation so team members have what they need to deliver
Metrics, Dashboards \& Financial Management
- Define the KPIs that matter for each client across marketing, sales, delivery, and engagement Build and maintain live dashboards (in GHL, Looker Studio, Google Sheets, or the client's platform) that give the founder and COO a clear view of business performance
- Set up tracking and attribution, including UTM conventions, pixels, conversion events, and lead source tracking, so results can be tied back to specific channels and campaigns
- Generate monthly performance reports with clear insights and recommended next steps
- Monitor project and marketing budgets and flag when expenses are trending outside of plan
- Coordinate invoicing, contractor payouts, and recurring tool subscriptions to ensure nothing is missed
Who You Are
You have been inside online businesses before and you know how they actually work. You think in systems: you can see how an opt-in, an email sequence, a sales page, a course, and a community fit together, and you can build every piece of it yourself.
You are proactive, organized, and reliable. You communicate clearly and you follow through. You are energized by complexity and you take pride in bringing order to chaotic environments.
Required Qualifications
3+ years of experience as an Online Business Manager, Operations Manager, Marketing Operations Manager, or similar role inside online or digital businesses
Hands-on proficiency with Go High Level, Kajabi, and ClickFunnels. You must be able to build and troubleshoot in these platforms independently
Proven experience designing, building, and optimizing complete marketing funnels, including opt ins, landing pages, sales pages, checkout, and follow-up automation
Experience implementing courses or programs inside at least one online learning platform Experience setting up and managing an online community
Strong email marketing experience including automation, segmentation, and campaign management
Comfort with metrics: setting up tracking, building dashboards, and using data to make optimization decisions
Demonstrated ability to build and document SOPs and operational workflows
Comfortable working across multiple client accounts with shifting priorities
Strong written communication skills. Your updates, SOPs, and client communications must be clear and professional
Self-directed and highly organized with minimal need for oversight
A portfolio or examples of funnels, course builds, or marketing ecosystems you have built (live links or walkthrough videos)
Preferred Qualifications
Experience working inside a consulting or fractional services firm
Familiarity with HubSpot, ClickUp, Asana, Notion, Zapier, or Make
Experience supporting course creators, coaches, experts, or membership-based businesses Background in launch management for digital products, webinars, masterclasses, or programs Working knowledge of Google Analytics 4, Looker Studio, Meta Pixel, and conversion tracking Basic HTML/CSS, copywriting, or design skills (Canva or similar) for page and email edits Experience supporting paid traffic campaigns (Meta or Google Ads) from the funnel and tracking side
OBM or marketing operations certification
Compensation
Independent Contractor (1099). No benefits included
Hourly rate commensurate with experience
Flexible hours with the ability to work across multiple client accounts
