**Job Summary** The Assistant Accounting Manager is a hands\-on accounting leader who supports the Accounting Division Manager in delivering accounting excellence to clients of The Cash Flow CFO (CFCFO) and The Profit Masters (TPM); a subsidiary of The Cash Flow CFO. The primary focus of this role is the accounting work itself: leading and executing new client onboarding, completing clean\-up projects, and managing a portfolio of bookkeeping clients while providing overflow and coverage support to the Account Managers. The Assistant Manager also reviews and directs Account Manager work as needed, helps build and maintain the division’s systems and training, supports hiring, and serves as backup for the Division Manager when she is out. **Responsibilities** **ACCOUNTING DELIVERY \& BOOKKEEPING** **Manage a Portfolio of Maintenance Clients** * Own the full\-cycle bookkeeping for a small book of assigned clients, including transaction coding, bank and credit card reconciliations, AP/AR, payroll entries, and adjusting entries * Deliver accurate, on\-time month\-end financials for assigned clients * Serve as the primary accounting contact for assigned clients, resolving requests promptly and accurately **Provide Overflow \& Coverage Support** * Step in to cover Account Manager client work during PTO, leaves of absence, vacancies, and account transitions * Take on overflow work when team capacity is stretched, as directed by the Division Manager * Ensure coverage is seamless for the client, with no drop in quality or timeliness **Uphold CFCFO \& TPM Accounting Standards** * Follow and model the Chart of Accounts, accounting standards, and division SOPs on every file * Document all time and tasks daily, separating billable client time from internal management time **CLEAN\-UP PROJECTS** **Scope Clean\-Up Work** * Assess the condition of new and existing client books, identify issues, and document a thorough list of clean\-up tasks * Estimate the hours and timeline required and review the scope with the Division Manager **Execute \& Manage Clean\-Up Projects** * Complete clean\-up work including historical reconciliations, correcting misclassifications, cleaning up balance sheet accounts, and mapping books to the correct Chart of Accounts * Delegate portions of clean\-up work to Account Managers where appropriate, then review their work and ensure required adjustments are made * Track progress against the estimated hours and timeline, and flag scope changes or budget overruns to the Division Manager early * Document findings and key decisions so the client and any additional team members have the full context **NEW CLIENT ONBOARDING** **Lead Onboarding for Smaller or Less Complex Clients (as assigned by the Division Manager)** * Manage onboarding end\-to\-end as per the established processes * Lead a thorough kick\-off call * Document \& maintain a thorough list of all clean\-up and onboarding tasks * Maintain constant communication with clients, including a weekly meeting and weekly email check\-ins throughout the onboarding process * Lead the transition from onboarding to ‘maintenance’ with an Account Manager within 60 days of the kick\-off call, ensuring a seamless client experience **Support Onboarding for Larger or More Complex Clients** * Partner with the Division Manager, who leads the kick\-off call and client relationship * Execute and coordinate the clean\-up and onboarding tasks, delegating to Account Managers where appropriate * Provide the Division Manager with timely, detailed status updates to support client communication **For All New Clients** * Build out Client SOPs \& Financial Information so the account is ready for a smooth handoff to maintenance **TEAM SUPPORT \& WORK REVIEW** **Direct \& Review Account Manager Work** * Regularly review client files and Account Manager work as assigned by the Division Manager, provide feedback, and ensure required adjustments are made * Assign and prioritize Account Manager tasks on onboarding, clean\-up, and coverage work **Be a Technical Resource for the Team** * Serve as a first point of contact for Account Manager technical accounting questions * Dig in to understand complexities, investigate solutions, and assist in problem solving **Partner with the Division Manager on Team Performance** * Share timely, specific observations about Account Manager work quality and development needs with the Division Manager * The Division Manager retains ownership of people management, including formal performance feedback, the Company Performance Management Process, and 90\-Day and Annual Performance Reviews **SYSTEMS, PROCESSES \& TRAINING** **Build \& Maintain Systems \& Processes** * Create, document, and maintain strong, repeatable policies and procedures that support the stability \& growth of the accounting division, including: * Accounting Division SOPs (checklists for month\-end, quarter\-end, year\-end, account transitions, onboarding, clean\-up, etc.) * Client SOPs \& Financial Information * Team Training Materials * Proactively recommend improvements. Never assume any process is set in stone; always assume improvements and changes are welcome **Support Hiring \& Training** * Participate in interviews for accounting team candidates, including administering and evaluating technical skills tests, and provide hiring recommendations to the Division Manager * Support the training \& onboarding of new accounting team hires on Accounting Department policies, procedures, SOPs, and client\-specific delivery * Deliver team trainings to improve the accounting team’s skills, as requested by the Division Manager **DIVISION MANAGER SUPPORT \& COVERAGE** **Collaborate with the Division Manager** * Meet weekly with the Division Manager to review workload, project status, priorities, and team capacity * Proactively ask for timely \& specific support as needed **Serve as Backup for the Division Manager** * Cover for the Division Manager during planned and unplanned absences, including answering team questions, handling client escalations, and keeping month\-end delivery on track * Stay current on the status of division priorities and open client issues so coverage is seamless * Escalate decisions outside the scope of this role to the COO during the Division Manager’s absence **KEY MEASURES OF SUCCESS** * On\-time, accurate month\-end financials for all assigned clients * Onboarding clients transitioned to maintenance within 60 days of kick\-off * Clean\-up projects completed quickly \& proactively within the agreed scope, hours, and timeline * Billable utilization of approximately 70\-75% of total time, tracked in Time Tracking tools * Current, complete SOPs and checklists for the areas this role owns **Qualifications \& Experience** * Bachelor’s degree in Accounting preferred. * 3\+ years of experience in accounting or bookkeeping, with a strong understanding of full\-cycle accounting processes. * Demonstrated experience completing clean\-up and catch\-up projects across multiple client files. * 1\+ year of experience leading, reviewing, or training the work of others. * Advanced knowledge of accounting software such as QuickBooks, ADP, and other relevant tools. QuickBooks ProAdvisor certification is required. * Proficiency in Microsoft Excel, Google Sheets, and other accounting tools. * Strong communication skills, both written and verbal, with the ability to interact effectively with clients and internal team members. * Excellent organizational skills and attention to detail, with the ability to manage multiple client accounts and deadlines simultaneously. * Ability to troubleshoot and problem solve, ensuring client requests are resolved promptly and accurately. * A fully equipped, distraction free home office. **Equal Employment Opportunity Statement** The Cash Flow CFO grants equal employment opportunities to all employees and applicants.
